A Day of Miscommunication and Awkward Surprises

It was a day filled with anticipation and excitement as I received an invitation to participate in the "Summit on Climate Change," organized by the XYZ Organization (name changed). The program was scheduled to take place in Pokhara from 28th to 29th June 2023. The email mentioned that all participants were expected to gather at the luxurious "Atithi Resort and Spa" a day prior to the summit, on 27th June.

Living in Pokhara, I eagerly prepared for the event, packing my bag with essential clothes and items, believing that I would be staying at the hotel for two days along with the other participants. However, there was no mention in the email or any communication about participants from Pokhara not needing to arrive on the 27th or the absence of accommodation facilities for us.

Feeling a bit unsure, I decided to seek clarification by sending an email to the project associate responsible for the event. Unfortunately, despite my efforts to communicate, there was no response from their end. With no information about when to arrive, I decided to take matters into my own hands and made my way to the hotel, hoping to find some answers upon arrival.

Upon reaching the Atithi Resort and Spa, my heart sank as I discovered that my name was not on the hotel check-in list. The realization that I had misunderstood the instructions and the lack of communication hit me hard, and I couldn't help but feel incredibly awkward at that moment.

Doubt filled my mind as I questioned my actions and wondered why the organizers had not informed me about the absence of accommodation facilities for participants from Pokhara. It would have been courteous for them to email me earlier, notifying me about the arrangements.

Feeling lost and unsure of what to do next, I checked my email once again, only to find a response from the project associate. However, the reply had come through just a few minutes before my arrival at the hotel. The message stated that I could come on the 28th of June at 8 a.m., revealing the confusion and lack of timely communication on both ends.

Determined to find some clarity, I approached the hotel manager and explained my predicament. The manager called the president of XYZ organization (name changed) to address the situation. It was then that I was informed that there were no accommodation facilities for participants from the same city. I couldn't help but feel frustrated and bewildered by the whole experience.

Leaving the hotel disheartened, I couldn't help but reflect on the importance of clarifying all details and facilities before participating in any program. It became clear to me that prior communication and thorough understanding are crucial to avoid such unfortunate situations. I regretted not seeking complete information, which had caused unnecessary inconvenience and disappointment.

As I made my way back home to come again on 28th June, I resolved to learn from this experience, ensuring that I always communicate and inquire about all necessary details before joining any future programs or events.
